2. To get your mind in a one place use FreeMind program.

3. And to esteminate time, hours and development costs use generic Microsoft Excel from Microsoft Office Package.

If you're looking at the agile route, AgileZen is a very nice lightweight project management tool. It's an implementation of kanban for software teams.
